Using the Proposal Document Editor

The document editor is where you build your proposal’s content—adding text, pricing, images, and signature sections. Think of it as your proposal canvas where you create a professional document that tells your story and presents your offering.

Accessing the Editor

After creating a proposal, you’re automatically taken to the editor. To return later:

  1. Navigate to Proposals
  2. Click the proposal name from your list
  3. The editor opens

Editor Layout

The editor has three main areas:

Canvas (Center):
The main area showing your proposal document as clients will see it. This is where sections appear and where you edit content.

Toolbar (Top):
Actions like preview, settings, send, and save are located here.

Section Controls (Left Sidebar):
Add new sections, reorder sections, or access section-specific settings.

Edit Mode vs. Preview Mode

Edit Mode (Default):

  • Shows edit controls and section management
  • Click into text to edit
  • Add, remove, or reorder sections
  • Configure pricing packages

Preview Mode:

  • Shows exactly what clients will see
  • No edit controls visible
  • Test how the proposal flows
  • Check for typos or formatting issues

Toggle between modes using the Preview button in the toolbar.

Working with the Canvas

The canvas displays your proposal sections from top to bottom. Clients will see sections in this same order when they view the proposal.

Click to edit:
Click on any text section to start editing content.

Hover to see controls:
Hover over sections to reveal action buttons (duplicate, delete, move).

Scroll to navigate:
As your proposal grows, scroll through the canvas to access different sections.

Real-Time Saving

Changes save automatically as you work. Look for the save indicator in the toolbar:

  • “Saved” - All changes are saved
  • “Saving…” - Changes are being saved
  • No internet warning - Changes will save when reconnected

You don’t need to click a save button—just work naturally and your content is protected.

The Section Sidebar

The sidebar shows all sections in your proposal:

  • See section types at a glance (text, pricing, image, signature)
  • Drag sections to reorder them
  • Click a section to jump to it on the canvas
  • Use the “Add Section” button to insert new sections

Editor Toolbar Actions

Preview:
Switch between edit and preview modes.

Settings:
Open proposal settings (expiration date, contract period, currency, agreement linking).

Send/Mark as Sent:
Finalize and send the proposal to your client via email, or mark it as sent if you shared it another way.

Actions Menu:
Additional options like duplicate, download PDF, copy link, delete.

Keyboard Shortcuts

Common shortcuts to speed up your workflow:

  • Ctrl/Cmd + S: Manual save (though auto-save is always working)
  • Ctrl/Cmd + Z: Undo last change
  • Ctrl/Cmd + Y: Redo
  • Esc: Exit text editing mode

Working with Text

When you click into a text section:

  • A formatting toolbar appears
  • Select text to format it (bold, italic, lists, headings)
  • The editor uses rich text (similar to Microsoft Word)
  • Paste from other documents preserving basic formatting

Formatting options:

  • Headings (H1, H2, H3)
  • Bold, italic, underline
  • Bulleted and numbered lists
  • Links
  • Text alignment

Mobile and Tablet Editing

The editor is optimized for desktop but works on tablets. For mobile devices:

  • View-only is recommended
  • Basic edits are possible but limited
  • Full editing power is available on desktop

For the best experience, build proposals on a computer and view them anywhere.

What You Can’t Do in the Editor

No pixel-perfect positioning:
Content flows like a document, not a design tool. You can’t drag elements to exact positions.

Limited custom styling:
While you can apply some formatting, you can’t apply custom CSS to individual elements (document-wide styles are available in settings).

No embedded videos:
You can add images, but not video embeds or interactive content.

Best Practices

Work in sections: Don’t try to build the entire proposal in one giant text block. Use multiple sections for better organization.

Preview frequently: Switch to preview mode regularly to see what clients will see.

Use formatting sparingly: Too much bold, italic, and color can look unprofessional. Keep it clean.

Check on different screens: Your proposal looks different on mobile vs. desktop. Preview on multiple devices if possible.

Start with structure: Add all sections first (blank is fine), then fill in content. This helps you see the flow.

Recovering from Mistakes

Undo/Redo:
Use Ctrl/Cmd + Z to undo recent changes.

Auto-save history:
Changes are saved constantly, but there’s no version history. Be careful with major changes.

Duplicate before major edits:
If you’re making significant changes to a proposal, consider duplicating it first as a backup.

Common Questions

Can multiple people edit at once?
Collaboration features depend on your plan. Generally, avoid simultaneous editing to prevent conflicts.

Why isn’t my formatting appearing?
Make sure you’re selecting the text before applying formatting. Some email clients may also strip formatting.

Can I edit a Pending proposal?
No. Recall it to Draft first, make edits, then send again.

How do I save my work?
You don’t need to. Auto-save is always running. Changes are saved every few seconds.

Can I undo deleting a section?
Yes, if you do it immediately with Undo (Ctrl/Cmd + Z). Otherwise, deleted sections are gone.

Does the editor work offline?
No. You need an internet connection. Changes made offline won’t save.
