Understanding Agreement Actions and Operations
Every agreement has a set of available actions depending on its status. Knowing what you can do—and when—helps you manage agreements effectively throughout their lifecycle.
Actions Menu Overview
How to access actions:
- From list view: Click ⋮ (three dots) or Actions button on agreement row
- From agreement details page: Actions dropdown in header or sidebar
Actions change based on status:
Draft agreements have different options than Pending or Signed ones.
Draft Agreement Actions
Available actions when agreement is in Draft status:
1. Edit
What it does:
Opens agreement editor, allowing you to modify content, add/remove sections, adjust settings.
Use when:
- Building new agreement
- Fixing errors before sending
- Updating client details

- Click Edit
- Make changes
- Save

2. Preview
What it does:
Shows client-facing view of agreement without finalizing.
Use when:
- Checking formatting
- Spotting missed placeholders
- Seeing what client will see
How to:
- Click Preview
- Review layout and content
- Return to editing if changes needed
3. Finalize
What it does:
Changes status from Draft to Pending. Makes agreement accessible to client via public link. No email sent.
Use when:
- Agreement is ready
- You’ll share link manually (text, chat, etc.)
- Linked to proposal (proposal sends email)
How to:
- Click Finalize
- Status → Pending
- Copy public link and share

4. Finalize and Email
What it does:
Changes status to Pending AND sends email to client with agreement link.
Use when:
- Agreement is ready
- You want professional email delivery
- Client expects email notification
How to:
- Click Finalize and Email
- Compose email message
- Send
- Status → Pending, client receives email

5. Delete
What it does:
Permanently removes agreement from your account.
Use when:
- Agreement created by mistake
- Test agreement no longer needed
- Duplicate you don’t want
Warning:
Cannot be undone.
How to:
- Click Delete
- Confirm deletion
- Agreement removed
6. Duplicate
What it does:
Creates a copy of the agreement in Draft status with same content and settings.
Use when:
- Need similar agreement for different client
- Want to create variation of existing agreement
- Reuse structure for new project
How to:
- Click Duplicate
- New Draft agreement created
- Edit copy as needed (change client, details)
- Save and finalize
Benefit:
Faster than creating from scratch or template.
Pending Agreement Actions
Available actions when agreement is Pending (sent to client, awaiting signature):
1. View
What it does:
Opens agreement in read-only mode. Shows current content and signature status.
Use when:
- Reviewing what client sees
- Checking if client has signed
- Verifying content
How to:
- Click View
- Browse content
- See signature section (empty if not signed yet)
2. Copy Link / Share
What it does:
Copies public agreement URL to clipboard.
Use when:
- Client lost original email
- Sending link via text or chat
- Sharing for client’s records

- Click Copy Link or Share
- Paste link into message
- Send to client

3. Resend Email
What it does:
Sends another email to client with agreement link. Same link, new email.
Use when:
- Client didn’t receive original email
- Following up after several days
- Client lost the email
How to:
- Click Resend or Send Again
- Optionally edit email message
- Send
- Client receives new email with same link
Note:
Does not create duplicate agreement—just resends access to same one.
4. Recall
What it does:
Changes status back to Draft. Client loses access to agreement. Allows editing.
Use when:
- Spotted error after sending
- Client requested changes before signing
- Need to add or remove clauses
How to:
- Click Recall or Recall to Draft
- Confirm action
- Status → Draft
- Public link deactivates
- Edit agreement
- Re-finalize and resend
Important:
Notify client: “I’m making a quick update and will resend shortly.”

5. Cancel
What it does:
Changes status to Cancelled. Client cannot sign. Agreement remains for records.
Use when:
- Client declined
- Deal fell through
- No longer needed
How to:
- Click Cancel
- Confirm action
- Status → Cancelled
- Public link shows “Agreement cancelled”
Note:
Cannot be undone. Create new agreement if needed later.
6. Duplicate
Same as Draft: Creates copy in Draft status for reuse.
Signed Agreement Actions
Available actions when agreement is Signed (client completed signature):
1. View
What it does:
Opens agreement in read-only mode. Shows content with signature.
Use when:
- Reviewing signed agreement
- Verifying signature details
- Checking terms for project execution
2. Download PDF
What it does:
Generates and downloads PDF of signed agreement.
Use when:
- Keeping records
- Sharing with accountant or lawyer
- Printing for physical files
- Sending copy to client
How to:
- Click Download PDF
- PDF opens or downloads to device
- Save or print
PDF includes:
- Full agreement content
- Client signature
- Legal name
- Date signed
- Your branding
3. Copy Link / Share
Same as Pending:
Copies public link. Client or others can view signed version (read-only).
4. Cancel
Rare action on signed agreements.
What it does:
Changes status to Cancelled even after signature.
Use when:
- Agreement signed in error
- Legal issue requires voiding
- Project cancelled after signing
Important:
Cancelling in system does not void legal signature. Consult lawyer if needed.
5. Duplicate
Same as Draft/Pending: Creates Draft copy for reuse.
Cancelled Agreement Actions
Available actions when agreement is Cancelled:
1. View
Read-only access to cancelled agreement content.
2. Delete
Permanently removes cancelled agreement from account.
Use when:
- Cleaning up old cancelled agreements
- Test agreements no longer needed
Warning:
Cannot be undone.
3. Duplicate
Creates Draft copy if you want to reuse content with new client.
Bulk Actions
If supported:
Select multiple agreements and perform actions on all at once.
Common bulk actions:
- Delete multiple Draft or Cancelled agreements
- Export selected agreements
- Tag multiple agreements
- Archive old agreements
How to:
- Check boxes next to agreements
- Click Bulk Actions or actions dropdown
- Select action
- Confirm
Use case:
Delete 10 test agreements at once instead of one-by-one.

- Edit (Draft only)

Best Practices for Agreement Operations
✅ Preview before finalizing: Catch errors in Draft stage.
✅ Use Duplicate for similar agreements: Faster than creating from scratch.
✅ Recall immediately if you spot errors: Don’t wait—fix and resend.
✅ Download signed PDFs promptly: Keep records in case of system issues.
✅ Cancel unused agreements: Don’t leave old Pending agreements cluttering list.
✅ Delete only test agreements: Keep real client agreements for legal/audit trails.
✅ Use bulk actions for cleanup: Delete multiple test drafts at once.
Common Questions
Can I edit a Pending agreement?
No. Recall it to Draft first, then edit.
What’s the difference between Cancel and Delete?
Cancel marks agreement as terminated (keeps record). Delete permanently removes it.
Can I undo a cancellation?
No. Duplicate the agreement and create a new one if needed.
What happens to the client link when I recall?
Link becomes inactive or shows “Under Revision.”
Can I resend a signed agreement?
Not typically. Client already signed. Copy link if they need access again.
Why can’t I delete a Pending agreement?
System prevents accidental deletion of sent agreements. Cancel first, then delete.
Can clients see my action history?
No. Actions are internal to your account.
What if I duplicate a signed agreement?
Creates Draft copy without signature. You’re starting fresh for a new client.
Can I batch finalize multiple drafts at once?
Depends on system. Check for bulk actions.
How do I see who performed an action?
In team accounts, activity log may show user names. Check agreement history or audit log.
