Using the Agreement Document Editor
The agreement editor is where you build your contract’s content and structure. Understanding the interface and tools helps you create professional, well-formatted agreements efficiently.
Editor Overview
The editor has three main areas:
1. Toolbar
Document-level actions: Save, Preview toggle, Download, Actions menu
2. Section List
All sections in order with individual edit controls
3. Content Preview
Live preview showing how sections will appear to clients
Edit Mode vs. Preview Mode
Edit Mode:
- Shows section controls and editing tools
- Add, edit, delete, reorder sections
- Rich text editor for text sections
- Upload controls for images
- Default view when working on agreement
Preview Mode:
- Shows clean client-facing view
- No editing controls visible
- See exactly what clients will see
- Test before sending
Toggle between modes using the Preview button or switch.
The Section-Based Approach
Agreements are built from sections—individual content blocks that you add, edit, and arrange:
Section types:
- Text – Paragraphs, clauses, terms (most common)
- Image – Logos, diagrams, visuals
- Signature – Client signature block
Build your agreement by stacking sections in logical order.
Adding Sections
- Click Add Section or the + button
- Choose the section type (Text, Image, or Signature)
- The new section appears at the bottom
- Drag it to the correct position
You can add as many sections as needed.
Editing Text Sections
Click into a text section to edit:
Rich text toolbar provides:
- Bold, Italic, Underline – Emphasis
- Headings – H1, H2, H3 for structure
- Lists – Bulleted and numbered
- Links – Add hyperlinks
- Alignment – Left, center, right
- Clear formatting – Remove styling
Keyboard shortcuts:
Ctrl/Cmd + B– BoldCtrl/Cmd + I– ItalicCtrl/Cmd + U– UnderlineCtrl/Cmd + K– Insert link
Type or paste content, then format as needed.
Editing Image Sections
Image sections display visuals like logos or diagrams:
- Click Upload Image or drag-and-drop
- Select an image file (JPEG, PNG, GIF)
- Image appears in the section
- Optionally adjust styling (alignment, size)
Replace image:
Click Replace or upload a new image to swap.
Remove image:
Delete the image or the entire section.
Signature Sections
Signature sections become the signing interface for clients:
In edit mode: Shows placeholder “Signature Section”
In preview/client view: Shows legal name field and signature pad
Best practices:
- Place signature sections at the end
- Consider text before signature: “By signing below, you agree to these terms.”
- At least one signature section is required for e-signing
Section Controls
Each section has controls:
Drag handle (⋮⋮):
Click and drag to reorder sections.
Delete (✕):
Remove the section permanently.
Duplicate:
Create a copy of the section (if available).
Style settings:
Some sections allow custom styling (margins, padding, colors).
Reordering Sections
To rearrange sections:
- Click the drag handle on the left side
- Drag up or down
- Drop in the new position
Common arrangement:
- Introduction/header
- Terms and clauses
- Signature section at the end
Duplicating Sections
To duplicate a section:
- Click the section’s Actions menu (⋮)
- Select Duplicate
- A copy appears below the original
- Edit the duplicate as needed
Useful for clauses with similar structure.
Deleting Sections
To delete a section:
- Click the Delete button (✕) or Actions → Delete
- Confirm deletion
- Section is removed immediately
Cannot undo:
Deleted sections are gone. Be certain before deleting.
Auto-Save
The editor auto-saves your work:
- Saves after a brief pause in editing
- “Saved” or checkmark indicator shows when saved
- No need to manually save (usually)
Manual save:
Some systems have a Save button for explicit saving.
Document-Level Styling
Beyond individual sections, you can style the entire document:
- Font family
- Base font size
- Colors
- Margins and spacing
Access via Styles or Settings (system-dependent).
Changes apply globally to all sections.
Working with Large Agreements
For lengthy agreements:
Use headings:
Structure content with H1, H2, H3 headings for easy scanning.
Break into sections:
Don’t create one massive text block. Use multiple text sections for each major clause.
Preview often:
Check formatting and flow regularly.
Consider templates:
Save well-structured agreements as templates for reuse.
Collaborative Editing
If your team has access:
- Multiple users can view agreements
- Usually only one person edits at a time (to avoid conflicts)
- Check if someone else is editing before making changes
Keyboard Shortcuts
Common shortcuts:
Ctrl/Cmd + B– BoldCtrl/Cmd + I– ItalicCtrl/Cmd + Z– UndoCtrl/Cmd + Y– RedoCtrl/Cmd + S– Save (if available)
Use shortcuts to speed up editing.
Mobile Editing
The editor works on tablets and phones:
- Touch-friendly controls
- Simplified toolbar
- Drag-and-drop still functional
Best practice:
Build complex agreements on desktop; use mobile for quick edits or reviews.
Best Practices
✅ Use the preview mode regularly: Catch formatting issues before sending.
✅ Structure with headings: Makes long agreements scannable.
✅ Break content into sections: Each major clause or topic in its own text section improves organization.
✅ Place signature last: Standard legal document structure.
✅ Keep images optimized: Large images slow load times. Use web-optimized files.
✅ Use templates for consistency: Create reusable agreement templates with your standard structure.
✅ Save often: Even with auto-save, manually saving (if available) provides peace of mind.
Common Questions
Can I paste from Word/Google Docs?
Yes. Most formatting carries over. Review after pasting to ensure it looks correct.
What if my text loses formatting?
The editor might strip unsupported styles. Reapply basic formatting (bold, headings) as needed.
Can I undo changes?
Yes, use Ctrl/Cmd + Z or the undo button (if available). Auto-save doesn’t prevent undo within the editing session.
How many sections can I add?
Practically unlimited. Most agreements use 5-20 sections.
Can I add videos or other media?
Typically only text and images. Videos can be linked via hyperlinks in text.
What happens if I close the browser while editing?
Auto-save likely saved your work. Reopen the agreement to continue.
Can I change section types?
No. Delete the section and add a new one of the correct type.
How do I add page breaks?
The editor typically handles pagination automatically when generating PDFs. Manual page breaks may not be supported.
