Sharing Proposals with Public Links

Every proposal has a unique public link that anyone with the URL can access. This provides a flexible alternative to email delivery—perfect for sharing via text message, chat apps, social media, or anywhere you communicate with clients.

What Is a Public Proposal Link?

A public link is a unique URL that leads directly to your proposal’s viewing page:

Key characteristics:

  • Public: Anyone with the link can view the proposal
  • No login required: Clients don’t need an account to access it
  • Always current: The link always shows the latest version of the proposal
  • Shareable: Copy and paste anywhere

When to Use Public Links

Great for:

  • Quick sharing via text message or WhatsApp
  • Posting in project management tools (Slack, Asana, etc.)
  • Embedding in emails you write manually
  • Sharing with team members for review
  • Including in social media DMs
  • Anywhere formal email sending isn’t ideal

Email sending is better for:

  • Professional, formal proposal delivery
  • Automatic status tracking (Draft → Pending)
  • Branded email presentation
  • Official records of when proposals were sent

Finding the Public Link

  1. Open the proposal (any status works)
  2. Click the Actions dropdown or Share button
  3. Select Copy Public Link or Share Link
  4. The URL is copied to your clipboard

Paste it anywhere you want to share.

Alternative Access

Some systems show the public link:

  • In proposal details sidebar
  • At the top of the proposal editor
  • In a dedicated “Share” panel

Sharing the Link

Once copied, paste the link into:

Text message:
“Here’s the proposal we discussed: [link]”

Chat apps (WhatsApp, Slack, Telegram):
“I’ve put together a proposal for you: [link]”

Email (manually composed):
“Please review the attached proposal: [link]”

Social media DMs:
Works on Instagram, Facebook Messenger, LinkedIn messages, etc.

Project management tools:
Paste into Asana comments, Trello cards, Monday.com updates, etc.

What Recipients See

When someone clicks the link, they land on the proposal viewing page:

  • Full proposal content
  • Pricing packages
  • Ability to select options
  • Signature section (if proposal status allows acceptance)
  • No login required

The experience is identical to what clients see when accessing via email link.

Link Behavior by Status

Draft proposals:
Link works, but clients can’t sign. Use for internal review only.

Pending proposals:
Full access—clients can review, select packages, and sign.

Accepted/Declined/Cancelled/Ended proposals:
Read-only. Clients can view but not modify or sign.

Security Considerations

Public links are not password-protected by default:

  • Anyone with the URL can access the proposal
  • Don’t share links publicly where competitors might see them
  • Use email sending for maximum control

Best practices:

  • Only share links with intended recipients
  • If an opponent accidentally receives the link, you may need to recall or cancel the proposal
  • Some systems may offer password protection—check settings

Link Expiration

The public link itself doesn’t expire, but:

  • Proposal expiration dates affect whether clients can accept
  • You can recall or cancel proposals to prevent access

To “revoke” a public link:

  1. Recall the proposal to Draft (removes client signature ability)
  2. Or cancel the proposal (sets read-only mode)

Editing Proposals After Sharing

Changes to the proposal are immediately reflected in the public link:

  • Edit content, pricing, or settings
  • Anyone accessing the link sees the updated version
  • No need to generate a new link

Exception:
If proposal is Pending, recall it to Draft to make edits, then move it back to Pending (by sending or manually changing status).

Using Link with Email Sending

You can use both methods:

  1. Send via email (changes status to Pending, sends notification)
  2. Also share the public link via text or chat

Both access the same proposal. Useful for clients who might misplace the email but still have your text messages.

Tracking Link Access

Most systems don’t track individual public link clicks (versus email opens). You’ll see:

  • Proposal status changes (Draft → Pending → Accepted)
  • Possibly “Viewed” indicators (depending on system)

But you won’t know how many times someone clicked the public link or who specifically accessed it.

Sharing with Team Members

Public links are useful for internal collaboration:

  • Share with designers to review layout
  • Share with managers for approval before sending
  • Share with accounting to prep invoicing
  • Share with project managers to plan work

Team members can view the client-facing proposal without needing special permissions.

Embedding Links

In your website or portal:
Some businesses embed proposal links in client portals or dashboards.

In project management software:
Link directly from tasks: “Review proposal before kickoff: [link]”

In CRM systems:
Attach links to client records for easy reference.

Copying the Link Again

If you lose the link, just go back to the proposal and copy it again. The URL never changes for that proposal—it’s always the same link.

Best Practices

Use email sending for official delivery: It’s more professional and triggers status changes.

Use public links for follow-ups: “Hey, did you get a chance to review? Here’s the link again: [link]”

Don’t post public links on open social media: Keep them semi-private.

Share links via secure channels: Encrypted messaging apps are better than unencrypted email or SMS for sensitive information.

Combine with context: Don’t just paste a link. Add a message: “Here’s the branding proposal we discussed on Tuesday.”

Test the link before sharing: Click it yourself to ensure it loads correctly.

Common Questions

Does the public link change if I edit the proposal?
No. The link stays the same; the content updates.

Can I have multiple links for the same proposal?
No. Each proposal has one unique public link.

Can I disable the public link?
Not typically. You can recall or cancel the proposal to prevent signature, but the link remains viewable.

Do public links work forever?
Yes, unless you delete the proposal entirely.

Can I customize the public link URL?
Usually no. The system generates a unique identifier for security.

What if I want to share only with specific people?
Use email sending for controlled delivery, or share the public link only via private messages.

Can clients forward the public link to others?
Yes. Public links can be shared by anyone who has them. If confidentiality is critical, consider password protection (if available) or watermarking.

Does sharing the public link change the proposal status?
No. Only using the “Send via Email” action changes status to Pending. Sharing the link manually doesn’t affect status.
