Understanding Client Pipeline Stages

Pipeline stages help you visualize and track where each client is in your business relationship—from first contact to active client to completed work. Think of your pipeline as a visual journey that shows the status of every client at a glance.

What Are Pipeline Stages?

Pipeline stages are customizable labels that indicate where a client is in your workflow. Each stage has:

  • A name (e.g., “Lead,” “Prospect” “Client,” )
  • A color for quick visual identification
  • A position in your pipeline sequence

When you create a new client, they’re automatically assigned to your default pipeline stage. As your relationship progresses, you move them through stages that reflect the current status.

While you can customize stages to match your workflow, common examples include:

For Sales-Focused Pipelines:

How Stages Appear in Your Workspace

In the Client List

Each client shows their current pipeline stage as a colored badge next to their name. The color makes it easy to scan your list and identify clients at similar stages.

In the Client Dashboard

Your dashboard displays a chart showing how many clients are in each stage. This gives you a quick overview of your entire pipeline.

In Dropdowns and Selectors

When creating projects or invoices, you’ll see the client’s pipeline stage next to their name to provide context.

Default Pipeline Stages

When you first start using Nizam, you’ll have a set of default pipeline stages. These provide a starting point, but you should customize them to match your specific business workflow.

New clients are automatically assigned to your default stage, which is typically the first stage in your pipeline (like “Lead” or “New Client”).

Stages Are Flexible

Unlike rigid status systems, pipeline stages in Nizam are designed to be flexible:

  • Create as many or as few as you need: Some businesses use 3 stages, others use 10
  • Change them anytime: Rename stages, add new ones, or remove unused ones
  • No forced progression: Move clients to any stage at any time—you’re not locked into a linear progression
  • Archive old stages: If you stop using a stage, you can remove it (as long as no clients are currently in that stage)

You don’t need to visit each client’s detail page to update their stage. Simply click the stage badge in your client list to quickly update it. More details in

Best Practices

Keep stages action-oriented: Use names that indicate what’s happening (“Proposal Sent”) rather than vague labels (“Stage 2”)

Limit the number: Too many stages can be overwhelming. Aim for 5-8 stages that represent meaningful milestones

Use colors strategically: Assign similar colors to related stages (e.g., shades of blue for early stages, green for active clients)

Match your sales process: Your stages should reflect your actual workflow, not a generic template

Review regularly: As your business evolves, update your stages to match your current process

Common Questions

Do I have to use pipeline stages?
No, but they’re highly recommended. They provide visual organization and help you focus on what needs attention. Every client has a stage, but you can create a simple setup with just a few basic stages.

Can clients skip stages?
Yes. Pipeline stages aren’t a linear progression. You can move a client from “Lead” directly to “Active Client” if appropriate, skipping any stages in between.

What happens if I delete a stage that has clients in it?
You can’t delete a stage that’s currently assigned to clients. You’ll need to move those clients to a different stage first.

Can I see how long a client has been in a particular stage?
Currently, stage duration isn’t tracked. You can use client notes to document significant milestones and dates.

Do archived clients still have pipeline stages?
Yes, archived clients keep their pipeline stage information, but they don’t appear in stage charts or filters.
